Terms & Conditions: Iconic Whitsunday Adventures
“You” and “your” refer to all persons listed on a booking (including anyone substituted at a later date). “We”, “us”, “our” and “Iconic Whitsunday Adventures” refer to Iconic Whitsunday Adventures, the operator of all tours listed under this brand.
1. BOOKINGS
A booking is confirmed when:
You have submitted a booking request with all required details;
Payment has been received in accordance with these Terms;
We have issued a booking confirmation.
We reserve the right to decline a booking at our discretion. If we do, and you have already paid, you will receive a full refund of any amounts paid.
Please ensure all guest names are entered as shown on your ID (e.g., passport or driver’s licence). Any re-issuance of documentation due to incorrect details will incur admin and rebooking fees.
2. OUR SERVICES
We operate a range of land and sea-based tours throughout the Whitsundays, including:
Lady Enid Sailing – Adult-only sailing experiences to Whitehaven Beach, Hook Island, or for sunset cruises
Viper – A fast adventure to the Outer Great Barrier Reef, Whitehaven Beach, and Hill Inlet in one day
Sundowner – Sunset cruises and private charters from Airlie Beach
Coastal Explorer – Guided land-based day tours along the Whitsunday coast and hinterland
All tours are arranged and delivered by us. If you book any third-party services (e.g., accommodation, helicopter flights, or add-ons), we act solely as an agent and your agreement will be with the third-party provider.
3. PRICING & PAYMENTS
All prices are in AUD and include GST. Payment in full is required at the time of booking unless otherwise stated.
Children:
Sundowner Children aged 3–14 are eligible for child pricing.
Coastal Explorer: Children aged 4–14 are eligible for child pricing.
Lady Enid Adult-only tours (minimum age 18 unless otherwise stated).
Viper: (minimum height 130cm unless otherwise stated).
Infants under 2: permitted on Sundowner tours unless pre-approved in writing.
Exclusions:
Prices do not include travel insurance, accommodation (unless part of a specific package), or personal expenses. Some tours may not include meals or transfers—please refer to individual tour inclusions at the time of booking.
4. CANCELLATIONS & AMENDMENTS
Standard Day Tours (Lady Enid, Viper, Sundowner, Coastal Explorer)
Cancellations >24 hours before departure: Fully refundable
Cancellations <24 hours before departure: 100% cancellation fee
Amendments: Permitted up to 24 hours before departure (subject to availability), $10 admin fee may apply
Private Charters
Cancellations >14days before departure: Fully refundable
Cancellations <14 days: 100% fee
Rescheduling: Permitted with 14days notice
Weather & Safety
Tours proceed in wind or rain if deemed safe. If you choose not to travel in these conditions and the tour operates, cancellation fees apply. If we cancel due to unsafe conditions, you may choose a full refund or reschedule.
5. FORCE MAJEURE
If a tour cannot proceed due to Force Majeure (e.g. cyclones, pandemics, government closures), you may be offered:
A Credit Note valid for 24 months, or
A refund, less the following where applicable:
Irrecoverable third-party supplier costs
Reasonable administrative costs
Fair compensation for services already performed
We cannot guarantee supplier credits will be passed through. Where unavailable, we will attempt to provide a partial refund based on recoverable expenses only.
6. HEALTH DECLARATION
All guests must have a level of health and mobility suitable for the chosen tour.
You may be required to:
Complete a health questionnaire prior to travel
Submit a medical clearance for conditions such as epilepsy, heart or respiratory issues, recent surgery, etc.
Failure to disclose medical conditions may result in denied boarding without refund. If your condition prevents participation and was declared in advance, a refund or reschedule may be offered at our discretion.
7. RISK ACCEPTANCE & WAIVERS
You acknowledge that participation in our tours may involve inherent risks, including but not limited to:
Exposure to weather, wildlife, water-based activities, slips/falls
Risk of personal injury or loss due to adventure activities or natural environments
By booking, you accept these risks. You may be asked to sign a liability waiver before certain activities (e.g. snorkelling, reef visits). Refusal to sign may exclude you from participation without refund.
We are not liable for injuries or losses arising from:
Your own actions or omissions
Risks inherent to the activities
Actions of third-party suppliers
8. SAFETY ONBOARD
All guests must comply with crew safety briefings and instructions.
Viper – Seatbelt Requirement
Viper is equipped with seatbelts. Guests must wear seatbelts at all times while the vessel is moving. Failure to do so may reduce or void liability coverage in case of injury.
Smoking, vaping, and consumption of alcohol not purchased on board are strictly prohibited.
9. TOUR ITINEARY AND WEATHER CONDITIONS
The skipper reserves the right to alter or cancel any part of the tour itinerary on the day due to weather conditions, safety concerns, or other operational requirements. This may include changing destinations, timings, or the order of activities to ensure the safety and comfort of all passengers. No refunds will be offered for itinerary changes due to circumstances beyond our control.
10. CHECK-IN & BOARDING
Please check in at least 20 minutes prior to departure. Check-in closes 15 minutes before departure. Late arrivals may be considered a no-show and forfeit their booking with no refund.
11. REFUNDS VIA TRAVEL AGENTS
If you booked via a travel agent or online booking platform, any refund due will be paid back to the agent. It is their responsibility to pass the refund on to you. We are not responsible for refund processing delays caused by third-party agents. Please note, they may also charge you an administrative fee.
12. PRIVACY POLICY
We collect your personal information for booking, communication, safety, and compliance purposes. Your data will be managed in accordance with the Australian Privacy Principles. For full details, please refer to our Privacy Policy or request a copy via email.
By providing your personal details, you consent to their use as described.
13. IMAGE RELEASE
During tours, we may capture photos or video footage of guests for promotional purposes. By joining a tour, you consent to the use of your image for marketing, including on social media, our website, and advertising.
If you do not wish to be photographed, please advise our team prior to your tour.
14. COMPLAINTS
Please notify our crew of any issues during the tour so we can resolve them immediately.
If your concern is not resolved, written complaints can be submitted within 30 days of your tour to:

Failure to notify us during or immediately after the issue may limit our ability to respond.
15. GOVERNING LAW
These Terms are governed by the laws of Queensland, Australia. Any disputes shall be heard in a Queensland court of competent jurisdiction.
